Reef Tank Expense Tracker

An aquarium expense tracker is more useful when a coral purchase becomes a livestock record, not only a dollar amount. ReefDiary logs costs by category, can create livestock or equipment from those lines, and stores monthly and category budgets on the tank.

What the expense log actually stores

Each line has an amount, a date, a category, and an optional item name. Categories include equipment, livestock, coral food, plant food, maintenance, testing kits, water conditioners, food, and other. Livestock and equipment lines can also create the matching record on the tank, with the shop name carried into the notes.

That is the depth missing from a generic budget spreadsheet: the money and the animal, or the money and the pump, are the same event.

Budgets without a fake total

Settings store category budgets and a monthly view of what the tank has already spent. The wearable snapshot can total the current month for a tank. None of that is a promise about what a reef “should” cost. It is your spend against the ceiling you set.

Expense tracking is a paid capability (canAccessExpenses on Serious Reefer and Enterprise). Starter does not include it. Prices themselves stay on the signup page.

How this compares with other reef apps

Public pages checked in July 2026 listed expense tracking for Reef Trak (including receipt scan) and Aquarimate. They did not list expense or budget tracking for NextUpReef or ReefBay. ReefDiary’s extra step is the link from a cost line to a livestock or equipment item, plus monthly and per-category budgets.

Shop-scale inventory and POS connections live on Enterprise, not on this personal expense log. A home tank budget and a store’s stock system are different jobs.

Categories you can actually budget

The expense categories are equipment, livestock, coral food, plant food, maintenance, testing kits, water conditioners, food, and other. A monthly view shows what that tank has already spent. Category budgets are the ceiling you set, not a suggested reef budget from ReefDiary.

A livestock or equipment line can create the matching record and keep the amount on the spending row. That is the part a plain expense total does not do: the coral and the price stay attached. Food, test kits, and maintenance stay as spend even when they do not create a livestock record. The monthly total is the sum of those lines, not a separate estimate you type in later.

Common questions

Can an expense create a livestock or equipment record?

Yes. Livestock and equipment expense lines can add the item on the tank and keep the purchase amount on the spending record.

Are there category budgets?

Yes. Tank settings store category budgets alongside the expense categories you log.

Is expense tracking on the free plan?

No. Expense access is part of Serious Reefer and Enterprise, not the free Starter tier.
